In short

A wedding planner spreadsheet for budget, guests and dates

Wedding Planner is a one-time download: an offline web app (no account needed) plus a separate Google Sheets™ template (free Google account) for your wedding budget, vendor payments, guest list, seating and a checklist dated from your wedding day. No subscription.

Wedding plans tend to spread across quotes, emails and notes. This planner keeps the numbers in one place. Every expense has a stage – Estimate, Quoted or Booked – and only booked costs count as committed, so your budget shows what is really agreed. Deposits and final balances get due dates, guests are counted one person at a time, confirmed guests go to tables, and 45 suggested tasks are dated back from your wedding day. Use it as an offline web app or as a wedding planner spreadsheet in Google Sheets.

It records what you enter. It doesn't pay vendors, contact your guests or give them a reply page, and it has no reminders. Budget splits and task timings are suggestions you can change.

An organizing tool – not financial, tax or legal advice.

What the video shows

The web app's overview on a laptop, under the title Wedding Planner. Labels appear one by one: Budget, Payments, Vendors, Guest List and Checklist. A small card works through one expense: a photography package booked at $3,000, minus a $1,200 deposit, leaves $1,800 still to pay – only booked costs count as committed. Then every budget category, deposits and final payments, and guests and seating. It ends with: offline web app + Google Sheets, three editions, no syncing.

What it does

Budget and payments

  • A total budget split into categories – start from a suggested split for 12 categories and change any amount
  • Each expense is an Estimate, Quoted or Booked – only booked costs count as committed
  • Planned, committed, paid and still to pay per category and in total, with an over-budget line
  • A payment plan per booked expense: deposit, interim payment and final balance, each with due and paid dates
  • Payments grouped as paid, overdue, next 30 days and later

Vendors

  • Category, status (Inquiry, Quoted, Booked, Paid), a contact name and whether the contract is signed
  • Committed and paid amounts per vendor, taken from the linked expenses

Guests and seating

  • Invitations by household, one row per person – adults, children and plus-ones each count
  • Replies (Yes, No, Awaiting reply) count once the invitation is marked as sent
  • A meal choice and a short food note per guest
  • Tables with seats, free seats and over-capacity warnings – a list, not a drag-and-drop floor plan

Checklist and overview

  • 45 suggested tasks from 12+ months before to the day after – edit, delete or add your own
  • Due dates count back from your wedding date, or use a fixed date; overdue tasks stand out
  • An overview with countdown, totals, payments due, guest replies and the next tasks

In the web app

  • A guided setup and a sample wedding to explore
  • Undo, CSV export, a printable checklist and a backup file with a checksum

How it works

  1. Buy on Etsy

Check out on Etsy, then download your files in a web browser – not in the Etsy app.

  2. Open START HERE

The guide shows which web app file to open and has your Google Sheets copy links and the link for iPhone and iPad.

  3. Start planning

Open the web app in your browser, or make your own copy of the Google Sheets template, and add your first entry.

More about how it works

Is it right for you?

A good fit if you …

  • want the wedding budget, payments, guests and dates in one place
  • like to see what's booked separately from quotes and estimates
  • want every adult, child and plus-one counted – not just households
  • want due dates that move along when your wedding date changes

Maybe not the right fit if you …

  • want an everyday budget for income and expenses after the wedding. Budget Spreadsheet →
  • are planning a project with tasks, a timeline and a board rather than a wedding. Project Management Spreadsheet →
  • need a tool that contacts guests or vendors for you – it only records what you enter, with no reminders.

Good to know

  • IMPORTANT – PLEASE READ: This is a digital planning product. No physical item will be shipped. It doesn’t process payments, send invitations, create an online RSVP website or send reminders or notifications. The offline HTML app and the Google Sheets template work separately and do not sync. The app stores data locally in your browser; regular backups are recommended. Browser support for local HTML files varies, particularly on iPhone and iPad – the START HERE guide includes iPhone links.
  • Guest postal addresses aren’t needed or stored. Budget splits and task timings are editable suggestions, not typical prices or financial advice.
  • For personal use; please don’t share or resell the files.

Questions about the Wedding Planner

Does it pay vendors or connect to my bank?

No. It doesn't move any money and has no bank connection. You record each payment yourself and mark it as paid.

Can guests reply online?

No. There is no reply page and no invitation email. You record each person's reply yourself – Yes, No or Awaiting reply.

Do I need an account?

The web app needs no account – you open the file in your browser. The Google Sheets version needs a free Google account. There is no stillmeasure. account and no subscription.

Where is our data saved?

In the web app, in your browser on that device – not inside the HTML file; to switch devices, export a backup and restore it there. In Google Sheets, it's in your own copy in Google Drive. The two versions don't sync.

Does it work on my iPhone?

iPhone & iPad: open the web-app link from your START HERE guide in Safari and add it to your Home Screen. A downloaded HTML file on its own only opens as a preview on iPhone and iPad.

Why doesn't a quote count as committed?

Committed means booked. Estimates and quotes are shown separately until you set the stage to Booked.

Do I need my guests' addresses?

No. Postal addresses aren't needed or stored – the guest list holds names, replies, meal choices and tables.

Can I use it in Excel?

It isn't supported. The spreadsheet is built and tested for Google Sheets.
